Nothing derails an event faster than a check-in breakdown. The doors open, 200 people line up, and your scanner can't connect to Wi-Fi. The line grows. Frustration builds. Your carefully planned event starts with a bottleneck.

This happens more often than most organizers want to admit. Venue Wi-Fi is notoriously unreliable. Cellular signals drop in concrete buildings. Battery-powered scanners die mid-shift. And USB scanners depend on a laptop that might freeze.

The solution isn't hoping for better Wi-Fi — it's building a check-in system with offline capabilities and multiple fail-safes. Here's the playbook.


The Three Modes of Event Check-In

Mode 1: Online Check-In (Ideal)

Your devices are connected to the internet. Every scan validates against the live attendee database in real time. You see instant confirmation: valid ticket, duplicate alert, or invalid code.

Best for: Events with reliable venue Wi-Fi or cellular connectivity.

Risk: If connectivity drops, you lose real-time validation.

Mode 2: Offline Check-In (Resilient)

Your devices have the attendee list pre-loaded. Scans validate against the local database without needing internet. When connectivity returns, check-in data syncs automatically.

Best for: Events in venues with unreliable Wi-Fi, outdoor events, basement venues, conferences in concrete convention centers.

Risk: Can't detect tickets that were refunded after the list was downloaded.

Mode 3: Manual Check-In (Fail-Safe)

Printed attendee list + pen. No technology required. Every name is looked up manually and checked off.

Best for: Absolute emergencies when all technology fails.

Risk: Slow, error-prone, and doesn't scale past ~200 attendees.

A well-prepared event has all three modes ready.

Building Your Check-In Setup

Small Events (Under 200 Attendees)

Minimum setup:

  • 1 phone or tablet with the Ticket Spot check-in app
  • 1 backup phone with the offline attendee list pre-loaded
  • 1 printed attendee list as emergency backup

Recommended setup:

  • 2 devices at the entrance
  • Both running in offline mode as default (more reliable)
  • 1 staff member with a printed list for edge cases

Medium Events (200-500 Attendees)

Recommended setup:

  • 2-4 devices at the main entrance
  • 1 device at a separate VIP/early entry lane
  • All devices synced to the same event in Ticket Spot
  • Offline mode enabled on all devices as backup
  • 1 printed list per 100 attendees

Staffing rule of thumb: 1 scanner per 100 attendees expected in the first 30 minutes.

Large Events (500+ Attendees)

Recommended setup:

  • 4-8 scanning lanes at the main entrance
  • Dedicated VIP lane with its own devices
  • 1-2 roaming scanners for late arrivals and edge cases
  • All devices in offline mode (don't rely on venue Wi-Fi)
  • Central dashboard monitor showing real-time check-in counts
  • 2 printed lists as emergency backup (one at entrance, one at will-call)

Staffing rule of thumb: 1 scanner per 75 attendees, plus 2 floaters.


The Fail-Safe Playbook

Fail-Safe 1: Pre-Download the Attendee List

Before the event, open the Ticket Spot check-in app on each device and download the attendee list. This takes seconds and gives you full offline capability.

Do this 30 minutes before doors open. Not the morning of — last-minute ticket buyers won't appear on an outdated list.

Re-download 10 minutes before doors to catch the final wave of purchases.

Fail-Safe 2: Bring Backup Devices

Have at least one extra phone/tablet fully charged and pre-loaded with the attendee list. If a device dies, freezes, or gets dropped, you swap it out in 10 seconds.

Fail-Safe 3: Print the Attendee List

Export the attendee list from Ticket Spot as a PDF. Print it. Keep it at the check-in desk.

If everything digital fails, you revert to Mode 3: manual lookup. It's slow, but it keeps people moving.

Pro tip: Print the list sorted alphabetically by last name. It's faster for manual lookup than the default order-by-purchase-date.

Fail-Safe 4: Prepare a Walk-Up Purchase Station

Some attendees will show up without tickets. Set up a separate station where staff can:

  • Sell tickets on the spot via the Ticket Spot dashboard
  • Accept cash or card (via Square POS integration)
  • Manually add the attendee to the list

Keep this station separate from the check-in line to avoid bottlenecking.

Fail-Safe 5: Label Entry Lanes Clearly

Confusion at the entrance creates lines. Label lanes clearly:

  • "General Admission"
  • "VIP / Early Entry"
  • "Will Call / Name Lookup"
  • "Walk-Up Tickets"

Each lane should have its own scanner and staff member.


Handling Common Check-In Problems

Problem: Duplicate Ticket Scan

Someone already checked in with this QR code. Possible causes:

  • The attendee is trying to enter twice
  • Someone screenshot and shared their ticket
  • The ticket was re-sold

Solution: The Ticket Spot app flags duplicates instantly. Staff can see the original check-in time and make a judgment call.

Problem: Ticket Not Found

The QR code doesn't match any ticket in the system. Possible causes:

  • Wrong event (attendee has a ticket for a different date)
  • Fraudulent ticket
  • Attendee list not updated (offline mode with stale data)

Solution: Check the attendee's confirmation email. If they have a valid ticket for a different date, direct them to the correct event. If the ticket appears fraudulent, direct them to will-call for manual verification.

Problem: Wi-Fi Drops Mid-Event

Devices lose connectivity during check-in.

Solution: If you pre-loaded the attendee list, devices automatically switch to offline mode. Scanning continues without interruption. When Wi-Fi returns, data syncs automatically. The line never stops.

Problem: Device Battery Dies

A phone or tablet runs out of battery.

Solution: Swap to the backup device (Fail-Safe 2). Keep portable chargers at the check-in desk for quick recharges.

Problem: Massive Unexpected Line

Far more people arrive in the first 15 minutes than anticipated.

Solution: Open additional scanning lanes. Have floaters with printed lists do manual check-in for the overflow. Consider opening a second entrance if the venue allows it.


Kiosk Mode for Self-Service Check-In

For events that want to reduce staffing at the door, Ticket Spot supports self-service kiosk setups:

  1. Place a tablet on a stand at the entrance

  3. Attendees scan their own QR code

  • Always have a staff member nearby for issues
  • Kiosk mode works best alongside staffed lanes (not replacing them entirely)
  • Use offline mode on kiosk tablets to avoid Wi-Fi dependency
